Using the example Views and Microsoft Excel files
HRMS Employee Self Service provides eight example Views on the View Builder Home page that you can use to explore View Builder features and how different options affect the View output. These Views are also helpful in considering the many View possibilities for your company. Use these Views strictly as examples with which to test the View Builder or copy them to use them as a starting point from which to create Views for use with your company's data.
The example Views are:
- Turnover Graphic Active Employees
- Turnover Graphic Terminated Employees
- Turnover Active
- Turnover Terminated
- Performance Rating with Pay Rates
- Labor Budget
- Job and Organization
- Contact List
Click an example View on the View Builder Home page to open it on the Edit View page. Review the configuration of the five View Builder pages then click Preview to open the Preview View page, where you can click a name to preview the View output as the selected employee.
Note: Example Views are read-only; therefore HRMS Employee Self Service disables the Save button on the Edit View page and the Import and Export menu commands. If you want to modify the configuration of an example View, you must copy the example View then save it with a new name.
- Click Copy on the menu that displays on the left-hand side of the View Builder window to open the Views page. Locate the View you want to copy then click it to open the Copy View page.
- Enter a new name for the View for View Name on the Format View tab.
- Optionally, use the View Builder pages to make other changes to the View.
- Click Save to save the View.
Understanding the example Excel files
In addition to the example Views, HRMS Employee Self Service also includes four example Microsoft Excel spreadsheet files. HRMS Employee Self Service includes a Microsoft Excel 2003 version and a Microsoft Excel 2007 or 2010 version of each file. Each spreadsheet pulls data from a corresponding example View. You can use these files as examples of the many different types of spreadsheets you can create using View output.
Six of the example Views generate output that populates the sample spreadsheets:

Important! If you copy an example View and you use the Excel files with the example Views, you must also update the data connection information for each Excel file with the new View name. Also, please note in the table above that some example Views use the same spreadsheet. As a result, you may need to update the data connection information in the Excel files on a per-use basis. Refer to the Microsoft Excel online Help for additional information about data connections.
Accessing the example Excel files
Choose a file from the list below that matches your version of Microsoft Excel. The files require use of the data refresh feature and are embedded with macros, which may require you to make some security adjustments in Excel.
If you use MS Excel 2003
- Click a link above to open the File Download dialog box, where you can click either:
- Open to open the file in Excel.
- Save to open the Save As dialog box, where you can select a folder in which to save the file.
- Enter the URL to your HRMS Employee Self Service installation when prompted. For example, http://myserver/selfservice.
- When you open the file, Excel prompts you with a message stating that the workbooks contain queries to external data and to enable or disable automatic refresh. Select Enable automatic refresh to automatically refresh the example View data in the spreadsheet.
- If your macro security level is set to:
- Medium - Click OK to enable macros.
- High - Excel prompts you that macros are disabled. Click OK to close the message dialog box. To enable macros, select Tools > Macro > Security then set the security level to Medium or lower.

If you use MS Excel 2007 or 2010
- Click a link above to open the File Download dialog box, where you can click either:
- Open to open the file in Excel.
- Save to open the Save As dialog box, where you can select a folder in which to save the file.
- Enter the URL to your HRMS Employee Self Service installation when prompted. For example, http://myserver/selfservice.
- When you open the file, Excel may display a Security Warning in the status bar. If so, click Options to open the Microsoft Office Security Options dialog box:
- Select Enable this content in the Macros section to allow Excel to run the macros embedded in the file.
- Select Enable this content in the Data Connections section to allow Excel to refresh the View definitions in the spreadsheet.
- Click OK to close the Microsoft Office Security Options dialog box.
