About View Builder

Dynamic information sharing capability allows HRMS Employee Self Service users to easily share data with other employees in your company. For example, a Human Resources Generalist can extract quarterly turnover comparisons and send them to managers in your company. HRMS Employee Self Service provides the View Builder, a versatile feature that allows you to implement info sharing in your company.

Using the View Builder, you can create a View (similar to a template) that generates output of HRMS Employee Self Service data. After creating a View, you can distribute it to other employees as a URL link in an email message or save the View as a Microsoft Excel Web Query file (*.iqy). Web query files are beneficial when you need to use the View output to create additional reports. Optionally, you can preview a View as the View recipient will see it with their security rights when they click the URL link. This allows you to verify that the View is displaying the correct data, is not displaying any extraneous data, and to make edits to the View before distribution.

Using the View Builder

To use the View Builder, the system administrator must give you access to the View Builder menu item by assigning you the View Creator role in the View Builder group box on the Assign Admin Roles page in HRMS Employee Self Service.

Note: By default, we provide the system-defined View Creator role and Executive Viewer role. However, you can also create custom View Builder roles.

Another role that the system administrator may assign to an employee is the Executive Viewer role. This role allows an employee full access to view all of the data in the company they are assigned to. To create a View for an employee assigned the Executive Viewer role, assign the View the Full Access level on the Format View page of the View Builder page.

Click View Builder from the menu on the left-hand side of the HRMS Employee Self Service workspace to open the View Builder Home page, which displays the last 10 active Views (the page displays eight sample Views if this is your first time using the View Builder). Click a View on the list to open the Edit View page or click New on the menu to open the New View page.

The View Builder consists of five pages; the Format View page, Select Fields page, Group & Sort page, Define Output page, and the Set Filter page. Use these pages to create a View.
