About Payroll G/L Integration Setup

The G/L Integration window (in Payroll Setup) lets you specify how your payroll system interacts with your General Ledger system. The window has three tabs: Integration, Segments, and Transactions.

Before you start

Before changing any of the settings or options, make sure you understand the impact the options have on processing within payroll.

To use the G/L Integration setup window

  1. Click the tab you want to see.

    Tip: To use the keyboard to move from one tab to another, press the Alt key on the keyboard and the letter that is underlined on the tab's name. For example, to move to the Processing tab, press the Alt and P keys on the keyboard.

  2. To keep any changes you make, click Save.
  3. To leave without changing G/L Integration options, click Close.

    Note: You cannot save options if any other payroll windows are open.

Integration tab

Use the Integration tab to specify:

  • When to create batches of transactions for General Ledger.
  • How to batch the transactions created for General Ledger. 
  • The journal entry date. 
  • The type of batch (detail or consolidated).
  • G/L posting information, such as the salary and wages payable and suspense accounts, and if your company is set for multicurrency, the exchange rounding differences account.
  • Whether to Use Cost Center Overrides. When you select this option, the Segments tab displays on the Payroll G/L Integration window.

Segments tab

Use the Segments tab (after you choose Use Cost Center Overrides on the Integration tab) to select the types of General Ledger accounts and the individual account segments which you want to be able to override when assigning earnings/deductions for individual employees in the Employee Payroll window.

You can add G/L account segments (up to the maximum of three) at any time. If you add segments however, you must also be sure to define the segment codes, or values, in the Employee Payroll windows. You can delete G/L segments only if there are no timecards, or transactions (posted or unposted) within the system that references the segment and there are no segment codes defined for the segment at the employee level.

Transactions tab

Use the Transactions tab to specify the type of information to show in the reference, description, and comment fields of your G/L transactions.
