Setting up Security for Timecards

You can use security in the payroll program to restrict employees’ access to timecards and to the tasks associated with timecards.

Ways to Set Up Timecard Access

You may want to set up timecard access in the following ways:

  • Access to All Timecard Functions. Set up employees to have access to all timecard functions, as well as other Payroll functions. These employees can enter and approve timecards, transfer them to the detailed Payroll timecards (for processing by the Calculate Payroll function), edit the detailed Payroll timecards, and print timecard reports. Typically, these are your payroll personnel.
  • Access to Employee Timecard Only. Set up employees to have access to only their own timecards, and no other Payroll functions. Typically, these are employees who do not work in the payroll department.
  • Access to Manage Employee Timecards. If you set up employees to enter their own timecards, you can also set up other employees who can access and process these employee timecards. These employees can enter, approve, and print employee timecards, and transfer them to the detailed Payroll timecards. Typically, these are managers who review and accept the timecards for the employees in their departments.

Restricting Timecard Access

To restrict timecard access, you must first enable application security for the company’s system database (using the Database Setup window). Then use the windows in Administrative Services as described in the topics below. If you need more details, refer to the System Manager online Help.

Note: If your company uses Employee Level Security for payroll, users have access only to the employees that have been assigned to them.
