Setting Up Employee Level Security

Employee Level Security is set up by users who are authorized to use Administrative Services and all payroll functions. These users can assign other users security authorization to perform setup tasks as required.

Steps for Setting Up Employee Level Security

  1. Plan a structure for grouping employees in the company and consider the access you want to provide to each Sage HRMS Payroll User. (See Planning Employee Level Security Setup.)
  2. In Administrative Services, set up User IDs, and assign authorizations, as follows:
  3. On the Users form, add or change User IDs, if needed.
  4. On the Security Groups window, add security groups for Payroll, assigning the authorization each group requires. Assign:
    • Selection List Maintenance for users who need to create reporting lists from their main selection lists.
    • Employee Security Setup for users who need to set up Employee Level Security.
    • Transfer Employee Timecards for users who need to enter, approve, and print employee timecards, and transfer them to the detailed Payroll timecards.
  5. On the User Authorizations window, assign User IDs to these security groups.

  7. Turn on Employee Level Security for U.S. Payroll:
    1. From Payroll Setup, choose Options, and then click the Processing tab.
    2. Select the Employee Level Security check box.
    3. Click Save, and then click Close.
    4. On the Sage 300 desktop, click File > Open to reopen the company database. The User Security Setup icon will be available in the employee record only after you reopen the company.

  9. Print the User Security Setup Report for a listing of the information entered in the User Security Setup window (optional).
