User Security Setup

The User Security Setup window displays if U.S. Payroll uses the Employee Level Security option.

If you have Employee Security Setup authorization, use this window to allow users access to certain employees.  

To Set Up User Security

  1. From the Payroll Employees folder, choose User Security Setup.
  2. In the User ID field, enter a user ID, or use the Finder to select it.
    • You cannot set up the ADMIN user on the User Security Setup window because that User ID always has access to all employees
  3. In the Access Type field, select the employee access that this user requires. Depending on the access type you specify, use the additional field that displays, as follows:
    • View Only Reporting Selection Lists. If you specified All Employees, select this option if you want to customize the Selection List Finder for this user.
    • Main List. If you specified Selection Lists, you must specify a selection list in this field. Users are restricted to the employees and selection lists that are included in the main list.
  4. If the Reporting Lists section of the window is available, use it to customize the Finder selections for this user. Selection Lists you include in the Selected field are available in the Selection List Finders in various payroll reports and windows.
    • To make a selection list available in the Finder, highlight it in the Unselected field, and then click Include.
    • To make all selection lists available, click All.
    • To remove a selection list, highlight it in the Selected field, and then click Exclude.
    • To remove all selection lists, click None.
  5. Click Save.
  6. Click Close.

Important Note about Removing User Security

If you need to delete a user in Administrative Services, you should first remove the user's User Security record in U.S. Payroll.

If you delete the user in Administrative Services first, their User Security record will remain in the payroll program, and it will display on the User Security Setup report. Also, if you add a user in the future with the same User ID, the new user will inherit the user security access from the previous user unless you change it.  

To remove user security

  1. In the User Security Setup window, select the User ID.
  2. Click the Delete button.
