Using the Earnings and Hours Report

Information on the report

If you chose the calendar year totals style, the report shows month-to-date, quarter-to-date, and year-to-date totals for each employee, as of the month and year for which you print the report.

If you chose the date range style, the report shows data for the selected date range, and for employees selected by employee range and/or selection list.

  • Employee number and name.
  • Earnings, expense reimbursements, and advances; cash and noncash benefits
  • Deductions and taxes
  • Vacation, sick, and compensatory/banked time accruals and payments.
  • Totals for all employees included on the report.

If you sort by class, the report shows data associated at posting with the selected class code or range of class codes, for the selected employees.

The detail version of the report breaks the information down by employee and prints totals at the end. The summary version prints totals only.

To print the report

  1. From Payroll Transaction Reports, select Earnings and Hours.
  2. At the Report Type field, select either Calendar Year Totals or Date Range. The calendar year totals style lets you print earnings and hours totals as of a selected month and year. The date range style lets you print earnings and hours totals for any range of dates you enter.
    • If you chose the calendar year totals style, enter the month and year for which to print the report at the Month and Year fields.
    • If you chose the date range style, enter a range of dates for which to print the report at the Date From and To fields.
  3. Select either Detail (by employee) or Summary for the report format.
  4. Choose to sort the report by either Employee Number, Employee Name, or Class.
  5. If you want to include the employees in a selection list, choose that selection list.
  6. Enter the range of employees on which to base the report at the Employees From and To fields.
  7. If you selected to sort by class, choose the class to sort by (Class 1, Class 2, Class 3, or Class 4), and then enter the range of class codes at the From Class Code and To Class Code fields
  8. Click Print.
  9. When finished, click Close.
