Employee's Demographics page
Use this page to enter basic employee information, including the employee’s name, address, telephone number, email address, and personal data.
The top portion of this page includes the employee's name, Social
Security Number (SSN)
Tasks that use this page include Add New Hire, Rehire Employee, and Change Personal Status.

Type the employee’s cell phone number. |
Pager |
Type the employee’s electronic pager number. Note: This phone can be renamed on the Enterprise Setup page (Enterprise Options tab). |

Type the employee’s email address. If you use Sage ESS, this is the From address for notification emails. |

First |
Type the employee’s first name using upper and lower-case letters. |
Middle |
Type the employee’s middle name. |
Last |
(Required) Type the employee’s last name. If the employee's name includes a suffix (such as "Jones, Jr." or "Carrington, III"), include this information with the last name. |
Nickname |
Type the employee’s nickname. If you do not enter a nickname, Sage HRMS automatically enters the first name. The Nickname is used in the Work Telephone Directory and the greeting on the Employee Benefits Statement. |
Salutation |
Type a title such as Dr., Mr., or Ms.. |
SSN

(Required) Select SSN or SIN, and then enter the employee's Social

Language |
Select the language spoken by the employee. |
EEO Reporting |
Select this check box if you want the employee included in EEO (Equal Employment Opportunity) reporting. (United States) |
EE Reporting |
Select this check box if you want the employee included in EE (Employment Equity) reporting. (Canada) |
Birth Date Age |
Enter the employee’s birth date. Sage HRMS displays the employee's Age based on this date. |
Marital Status |
(Required) Select the employee’s marital status. Note: This item does not update Sage HRMS Payroll. |
Gender |
Select either Male or Female. For Canadian employers: You must select a gender so that employees will be counted correctly on Employment Equity reports. Employees whose Gender is not selected will display on the report, but they will not be included in the counts. |
Smoker |
Select Yes if the employee smokes. Otherwise, select No. |
Disability |
Specify whether or not the employee is disabled. This item only applies when EEO Reporting is selected. |
Ethnic Origin |
Select the ethnic ID, which Sage HRMS uses in EEO reports. This item only applies when EEO Reporting is selected. |
Use this tab to attach a photograph of the employee. The top of the Demographics page will then display the employee's photograph.
Before you select a photo, Sage HRMS must be able to access the photo file—and it must have a .PNG, .JPG, .JPEG, or .GIF extension.
To select a photo:
- Click the Photo tab.
- Click .
- In the Select an image file window, locate the photo file.

Select the file and click Open.
The photo appears in the Photo tab.
To remove the photo:
On the Photo tab, click . Although the photograph is removed from the tab, it is not removed from your system. You can select the photo again any time you want.
This tab is only accessible when EE Reporting is selected.

If there needs to be any follow up for the PIPEDA consent, enter a follow- up date. |
