Getting Started with PayrollOnline by BenefitMall

You should run the BenefitMall Sync before you log on to PayrollOnline by BenefitMall for the first time. The first time you run the BenefitMall Sync, data is synchronized between Sage HRMS and Sage Time Off, and all (active) employee data including new hires, employee benefit and attendance data, organization codes, and updated data for existing employees is automatically transferred to PayrollOnline by BenefitMall. You can then continue to maintain all required employee information in Sage HRMS updating PayrollOnline by BenefitMall as needed.

Note: Terminated employees will not sync by default, but you have the option to include them on the criteria screen when you run the sync. If you choose to sync terminated employees, they are only synced the first time and then included in the sync again if they are rehired and their status changes to something other than terminated.

Before using the BenefitMall Sync you must:

  • Register for a PayrollOnline by BenefitMall account
  • Install the latest update for the BenefitMall Sync components
  • Connect to the Internet
  • Complete the setup for Enterprise, Companies, Security, and Rules in Sage HRMS

When completed, Sage HRMS and Sage Time Off codes will be available for selection in PayrollOnline by BenefitMall. Use the BenefitMall Sync process to initially populate PayrollOnline by BenefitMall with employees. Your data is synchronized and all (active) employee data including new hires, updated data for existing employees, and employee benefit, organization, and attendance data is transferred to PayrollOnline by BenefitMall.

If invalid data is detected on the PayrollOnline by BenefitMall server side, the BenefitMall Sync process halts and displays an Exception Report. To print the report, right-click anywhere on the report and select Print from the menu. If there is an exception due to invalid data or other conditions in your Sage HRMS data, a text report is presented in Notepad. Review the exception report and correct the data before you run the process again.
