Invalid code tables

Currently in HRMS Employee Self Service, when an employee's record includes a code but its code table (that includes the code description) was deleted, the description for the code is not found. When this happens, the code description displays as [None] on the summary page and as "Not in Code Table" on the Detail page.

The issue

When HRMS Employee Self Service opens a page with records that reference a code from Sage HRMS, it validates that both the code and the description exist in HRMS Employee Self Service. If it cannot validate that both the code and description exist, it cannot display the code on the HRMS Employee Self Service page.

The resolution

The resolution depends on the HRMS Employee Self Service page. The following rules apply when a code is invalid:

  • A page that provides access to multiple records in a list (for example, skills, events, education) does not display the record with the deleted code.
  • A page that provides access to only one record (such as, Personal Profile, Medical) displays "Not Found" for the deleted code. In this situation, the employee must change the "Not Found" code to a valid code before they can save the record.
  • The Dependents/Beneficiaries summary page (that lists the employee's dependents and relation codes) displays "Not Found" for an invalid relation code. On the dependent's detail page, the employee must change the "Not Found" code to a valid code before they can save the record.
  • After Benefit plan information has been set up (including benefit eligibility, benefit elections, open enrollment and life events), if referenced codes no longer exist in Sage HRMS, the benefit setup information is no longer valid. If this occurs, an exception error for the employee is returned when life events or open enrollments are processed, so the Benefits Administrator is aware of what occurred. The exception error is also reported in the Enrollment Exceptions report.
  • If an attendance plan is deleted from an employee's record in HRMS Employee Self Service, it is no longer available for the employee to select in HRMS Employee Self Service and any associated pending time off requests are removed.
  • If an attendance plan is deleted (at the rule level), the plan is no longer available in Time Off Setup and any associated pending time off requests are removed.
