About Shift Differential Codes Setup

On this window you can:

  • Add new shift differential schedule codes.

  • Change descriptions and differential rates.

  • Delete schedule codes that are no longer needed.

To Add New Shift Differential Schedules

  1. Click New and type a six-character schedule code. You can also just type the code and press Tab.
  2. Enter a description for the code.
  3. Enter the differential rates for each shift (up to four) in the schedule.
  4. To add the schedule, click Add. Or, to leave without adding the schedule, click Close.

How the payroll program uses shift differential schedules

When you create a shift differential schedule, you enter a rate by which the regular hourly rate should be adjusted for each shift.

For example, you indicate that employees working on shift 2 are paid $1.55 per hour, in addition to their regularly hourly pay, by entering 1.55 for the rate. You then associate a shift and a shift differential schedule with each employee. The system automatically calculates the correct pay when you enter the number of hours worked on each shift on timecards.

The system distributes an employee's shift differential pay to the Shift Expense account associated with the employee's hourly earnings.

You can override the shift differential schedule and account to be posted for any shift differential earnings when you enter a timecard for the employee.

After using

  • Print the Shift Differential Schedules report from Payroll Setup Reports.
  • Assign shift differential schedules to employees as appropriate.

Before deleting a schedule, changing a rate, or setting a schedule to Inactive

Before you delete a schedule, make sure it is not assigned to any employees or used by any timecards. You cannot modify or delete a shift differential schedule once it has been assigned to an employee or entered on an employee's timecard.
