Using the Quarterly Wage on Disk Report

The Quarterly Wage on Disk function produces a quarterly wage data file that can be saved to a disk. The file can then be submitted to tax authorities or by electronic means where permitted. The function does not produce a printed report on paper. Print the Quarterly Wage government report to provide quarterly wage reports for your individual taxing authorities.

Information on the report

  • All employees in the selected employee range, class range or selection list who have earnings associated with the selected tax in the selected quarter. Information includes the employee's social security number, name, taxable weeks, taxable earnings, and tax amount.
  • The Taxable Earnings column shows wages considered taxable by the taxing entity that you selected for printing. The Total Earnings column shows gross earnings.
  • Page totals and a grand total of taxable earnings and tax amount.

Note: Sage HRMS uses Sage Payroll Tax Forms and eFiling by Aatrix services for printing and filing most government reports and forms. To learn more about this functionality, read About Sage Payroll Tax Forms and eFiling by Aatrix.

Before you start

Review the magnetic media specifications for producing quarterly wage data on disk or electronically, available from your local or state’s tax agency. The specifications will serve as an invaluable reference when using Sage HRMS to produce your data reports.

To create the quarterly wage on disk or hard drive, there are two main steps:

  1. Complete the Employee Supplemental Information (in the Employee Payroll window >Taxes tab, for each tax) to provide special employee information required by your state.
  2. Use the Quarterly Wage on Disk feature under Payroll Government Reports to produce a quarterly wage report file.

To print the report

  1. From Government Reports, select Quarterly Wage on Disk.
  2. Enter the quarter and year for which to print the report.
  3. Enter the date the report is due.
  4. In the Tax Code field, enter the tax for which to print the report.
    • If you choose CASIT, then at the Report Type field that subsequently displays, choose Quarterly Wage on Disk or DE6.
    • If you choose DE6, before printing, load the State of California’s "Quarterly Wage and Withholding Report" pre-printed forms in your printer.
  5. Choose to sort the report by either Employee or Class.
  6. If you selected to sort by employee, in the From and To Employee Number fields, enter the range of employees on which to base the report.
  7. If you want to include the employees in a selection list, choose that selection list.
  8. If you selected to sort by class, choose the class to sort by (Class 1, Class 2, Class 3, or Class 4). Then enter the range of class codes in the From Class Code and To Class Code fields.
  9. Click Print.
  10. When finished, click Close.
