About the Employee Number

The employee number or employe ID can be up to 12 characters, alphabetic and numeric.

Note: After you assign an employee number to an employee you cannot change it without deleting the employee record and re-entering the employee with a new number.

Employee Numbering Tip

You can process payroll and print almost all Sage HRMS Payroll reports (including W-2s ROEs, T4s, and Relevé 1s) by a range of employee numbers. You can also process and print by class and by selection lists, alternatively or in conjunction with employee numbers.

Keep ranges of employees in mind as you assign employee numbers. If your employees fall into any natural groups, for each group set aside a range of numbers large enough to accommodate current and future employees in the group.

For example, if you have seasonal workers who will be furloughed and then reactivated later, you can assign them numbers in the range 4000 - 5000. Then, when the time comes to furlough the seasonal employees, you select the employee number range 4000 - 5000 when you print their ROEs and set their status to Inactive. When they return to work, you can readily identify the employee number range 4000 - 5000 when changing their status back to Active.

For example, if you have seasonal workers who will be furloughed and then reactivated later, you can assign them numbers in the range 4000–5000. Then, when the time comes to furlough the seasonal employees, you can select the employee range 4000–5000 when you print their reports (such as the Employee Information report) and set their status to Inactive. You can also code groups of employees by beginning the employee number with a letter or letters.

How Sage HRMS Payroll Sorts Employee Numbers

Sage HRMS Payroll sorts employee numbers first numerically and then alphabetically, but always by the first character in the employee number.
