Mass Update Pay Step Rate process
Note: You only need to run this process if you are using salary grade steps and job service for your employees. For more information, see Salary grades and step rates
Run the Mass Update Step Rate process after the Mass Update Step Rate Service process to update your employees' months of service in their job and initiate a pay increase according to the level (step) they have attained in the salary grade for their job.
Run the processes in the following order:
- Mass Update Step Rate Service. This process uses the employees' job start date to calculate their months of job service. The calculated number of months is displayed on the Step Rate tab of each employee's Current Pay page.
- Mass Update Pay Step Rate. This process uses the employee's months of job service and the setup information for the job's salary grade to determine the step the employee has attained for the job. The process then updates the pay rate according to the employee's step.
To run the Mass Update Pay Step Rate process:
- Back up your data so you can restore the original data if necessary.
- Perform the Mass Update Pay Step Rate Service process.
- Select Employees > Processes > Mass Update Pay Step Rate.

On the Mass Update Pay Step Rate page, make your selections for the employees to be affected.

Description
Employer
Select Enterprise, Multiple, or the individual employer to be affected by the change. If you select Multiple, a two-list window opens where you select the employers to include.
<organizations>
If only employees at a particular organization level are affected, select that organization.
Leave the organization level blank to include all organizations within that level.
Changed Since
If only employees whose pay step rates changed since a specified date are affected, enter that date.
Active
Select this check box to include active employees.
LOA
Select this check box to include employees on leave of absence.
Terminated
Select this check box to include terminated employees.
Employee
Use the icon buttons to select a specific employee or group. See Selecting specific employees.
Custom Criteria
If you want to use additional employee selection criteria, select the Criteria Table, the Criteria Builder or the FoxPro Expression Builder from the drop-down list. See Defining your own selection criteria.
Exempt
You can choose to include either Exempt or Nonexempt employees.
Leave this item blank to select both.
Overtime Eligible
You can choose to include or exclude employees who are eligible to work overtime.
Leave this item blank to include both
- Click OK.

On the Pay Rate Update Selections page:

Enter the date when the pay change is to be effective. Initially, this is the current date.
Note: Job service is always calculated based on months of service as of the system date, even if you enter a date earlier than the system date. The Mass Update Pay Step Rate process never decreases a step rate or a pay rate.
- For Change Reason, select the reason for the change.

For Print Report Only, select one of the following:
- To see only a preview report of the employees selected, select . When you close the report, you can click to print the report.
- To proceed with the pay step rate update, click No.

- If you choose to proceed with the update, a message shows the number of employees the system will update and asks whether you want to proceed. Click to proceed.

When the process is complete, the number of employees updated is displayed. Click
to display the report.After reviewing the report, close the report and choose whether or not to print it.
Notes:
- The Mass Update Pay Step Rate process adds the pay step rate increases to the employees' job history files.
- This process also updates employee insurance benefits and creates history records.
- This process will not generate a history record for savings plans because the flat amounts or percentage savings amounts do not change.
