Using the Sage 100 Payroll Setup page in Sage HRMS
When you install Sage 100 Payroll Link, the system adds a new detail page to Sage HRMS.
Because Sage HRMS becomes your primary system for employee information, you will enter all newly hired employees in Sage HRMS. You use the Sage 100 Payroll Setup page to enter
payroll information that you want transferred to Sage 100 Payroll.
To use the Sage 100 Payroll Setup page:
- In Sage HRMS, select Employees > Tasks > View/Edit Employee and find the employee.

Select in the menu and then select the Sage 100 Payroll
Setup tab.
Note: You can also access this page for a new hire. The employee must be assigned a Department in order to sync with Sage 100 Payroll.

Payroll Status information on the page
Sage 100 Payroll Employee Number |
Displays the employee's number in Sage 100 Payroll, if this employee's information was already linked. Otherwise this will be blank until the employee is linked. |
Autopay Employee |
Select whether you want the system to use the automatic
payment amount for this employee. |
Direct Deposit |
Select whether the employee uses direct deposit. |
Overtime Exempt |
Displays whether the employee is exempt from overtime
pay. (This is read only) |
Pension / Profit Sharing |
Select whether the employee is eligible for an employer-sponsored
retirement plan. |
Seasonal |
Select whether the employee is seasonal. |
Pay Cycle |
Displays the employee's pay frequency (from
the Current Pay window). (This is read only) |
Pay Method |
Displays whether the employee is salaried
or hourly (from Salaried/Hourly on the Current Job tab). (This is read only)

Hourly Pay Rate |
If the Pay Method is Hourly, displays the hourly rate (from Unit Pay Rate on the Current Pay Detail window).

Pay Period Salary |
If the Pay Method is Salaried, displays the salary per pay period (from Pay Period Salary on the Current Pay Detail window).

Time Off Code |
Select the time off code for this employee. |
Time Off Eligibility Date |
For employees eligible for paid time off, enter the eligibility start date. |
Medical Coverage |
Select this check box for employees who are eligible for medical benefits. |
Medical Coverage Effective Date |
If the Medical Coverage check box is selected, enter the eligibility start date for the medical benefits. |

to save your changes.

Click the Employee Tax Info button to sync with Sage 100 Payroll, and then enter the employee's tax information (tax profile and filing status).
Note: If you see a Sage 100 message about data entry in progress, click OK. You can still enter changes to the tax information, but it may not be used in the Sage 100 process currently running.

In the Employee Tax Info window for Default Tax Profile, click
and select the tax profile for this employee.
The federal and state tax groups associated with this tax profile display in the table.

Tax Group

Displays the tax group code. The Federal tax group and the tax groups included in the default tax profile appear automatically. (View only) |

Tax Exempt |
Select this check box if the employee is exempt from withholding tax for the tax group. All other payroll taxes will still be calculated for this tax group.
Clear this check box if the employee is not exempt from withholding tax for the tax group.

Enter the employee's filing status for the tax group—or click and select from the available filing statuses. (Only available if the tax group requires a filing status.) |
Workers Comp |
Enter the workers' compensation code for the tax group—or click and select from the available workers' compensation codes. (Only available only for certain state tax groups.) |
Pers Exemptions |
Enter the number of personal exemptions claimed for the tax group. (Only available if the tax group has personal exemptions.) |

Tax Calc Override |
Select an option regarding overriding the standard withholding tax calculated for the employee's paychecks:
- None if you do not want to override the standard withholding tax calculation.
- Add % of Gross to calculate a percentage of the gross wages and add that amount to the standard calculated withholding tax. You then enter the percentage for Override %.
- Add an Amount to add a specific amount to the standard calculated withholding tax. You then enter the amount for Override Amt.

If you selected Add an Amount for Tax Calc Override, enter the amount to add to the employee's calculated withholding tax for each paycheck. |
Override % |
If you selected Add % of Gross for Tax Calc Override, enter the percentage rate to calculate a percentage of the employee's gross wages and add that amount to the employee's withholding tax. |
W-2 Consent |
Select this check box if the employee has provided consent to receive an electronic W-2 form instead of a paper copy. The W-2 forms processed through Federal and State Tax Reporting will be electronic copies.
Clear this check box if the employee wants to receive a paper copy of the W-2 form.

1095 Consent |
Select this check box if the employee has provided consent to receive an electronic 1095 form instead of a paper copy. The 1095 forms processed through Federal and State Tax Reporting will be electronic copies.
Clear this check box if the employee wants to receive a paper copy of the 1095 form.

LA SOC |
Enter the standard occupational classification code. (Only available for the Louisiana tax group.) |
MN Reporting Unit |
Enter the applicable reporting unit. (Only available for the Minnesota tax group.) |
PA PSD |
Enter the political subdivision code. (Only available for the Pennsylvania tax group.) |
KY Job Dev Fee |
Select this check box to calculate the Kentucky Job Development Fee taxes for this employee. There are multiple taxes that fall into this category within the Kentucky tax group. The taxes are calculated if they are selected in Tax Profile Maintenance and if this check box is selected.
Clear this check box if you do not want to calculate the Kentucky Job Development Fee taxes for this employee.
(Only available for the Kentucky tax group.)

- The Residence and Work tax locations are automatically displayed based on the Default Tax Profile. If needed, you can change them by clicking
and selecting the location code.

to save your changes.
The employee's tax information is also updated in Sage 100 (on the Taxes tab of the Employee Maintenance window). If the employee was not already set up in Sage 100, the employee is added to Sage 100 along with all of his/her information from Sage HRMS.
Note: You can use the Employee Tax Info window to update tax information in Sage 100 even if you do not have access to Sage 100 or Sage 100 Payroll Link.
