Page Setup tab (Employer Setup page)
Use this tab to specify the access for each employee page, manager page, and custom page in the system. You also set the approval and notification settings for these pages (where relevant).
Before you begin
Review special setup information for the following pages:
When the Employee Time Off manager page is set to Approve and the employee submits an FMLA time off request, the HR Admin, Benefit Admin, and Manager roles will each receive only a notification (not an Approval request). This is because an employee typically needs to provide detailed information to their manager and the HR department when they request FMLA leave.
The only access types available for the Life Events page are No Access, Notify, and Update. When an employees submits their life event, the system automatically sends a notification for approval to the Benefits Administrator. You can also identify more than one individual to be notified when the employee submits a life event. (Any role selected for Approval is ignored.)
If Payroll is being used, the Pay History page can be set to View. However, employees can view their paychecks only after you synchronize and depend on the Display Pay History From setting on the System Setup page.
When the Available Courses page is set to Approve and the administrator or manager approves an employee's enrollment, the administrator must also use the Training/Required Courses page in HRMS Employee Self Service to add the course to the employee. The employee will be notified in their Message Center when the enrollment is approved.
The only access types available for custom pages are No Access and View. When the custom page is created, the access type is automatically set to No Access. You must change it to View if you want the new page to display in the menu.
To control the access, approval, and notification settings for pages:
-
Access the Employer Setup page and choose whether to specify settings at the enterprise level or an employer level.
Note: The top left corner the page shows either Enterprise or the employer name. This reminds you where you are making the changes. If you choose an employer and then switch to is using Enterprise settings near the top left corner of this page, all employer-level settings will be removed and the enterprise-level settings will be used when you click Save.
-
In the Access drop-down list for each page, choose one of the following access types. (Access type choices may differ by page.)
- No Access to hide the page.
- View to display the page as view only, but it cannot be updated.
- Update to display the page and allow updates. If the employee changes and saves changes, the database is immediately updated (no approval or notification is required).
- Approve to display the page and allow updates, but the selected Approval role must approve it before the database is updated. If you choose Approve, you must also choose an Approval role.
- Notify to display the page and allow updates. If the employee changes and saves changes, the database is immediately updated (no approval is required), but a notification is sent to one or two roles. If you choose Notify, you must also choose one or two notification roles.
Note: Access to pages is based on whether or not the employee is a manager. Employees who are managers have access to both Employee and Manager pages. Employees who are not managers only have access to Employee pages. The pages listed in the Employee and Manager page sections depend on which products are installed.
-
In the Approval drop-down list for pages that have an access type of Approve, choose the role of the person who must approve or reject the changes made on the page.
If the page has an access type of No Access, View, Update, or Notify, the Approval selection is set to Not Available.
-
In the Notify drop-down lists for pages that have an access type of Notify, choose the role of the person who will receive notification when a change is made on the page.
If the page has an access type of No Access, View, Update, or Approve, both Notify selections are set to Not Available.
-
To save your changes, click Save.
Note: The Redirect Messages Email Address on the Settings tab must be filled in and it must contain a valid email address. If it is not filled in, you will receive a reminder message (at the top of the page) when you try to save the Employer Setup page.
