Using Reverse Transactions

Before you start

  • Post all open batches in the subledger that pertain to the period in question.
  • If system security is turned on, you must be assigned to a user group authorized to reverse the type of transaction. Security authorizations include:
  • Reverse Payments
  • Reverse Bank Entries
  • Reverse Customer Receipts

To reverse a transaction

  1. From the Navigation Pane, select Payroll > Reverse Transactions.
  2. Enter header information for the reversal, as follows:

To reverse one transaction

First identify the transaction by filling in the following fields:   

The Customer Number field displays if you selected Accounts Receivable as the source application. If you are reversing a single check, enter the code for the Accounts Receivable customer whose check was returned NSF.

The Vendor Number field displays if you specified Accounts Payable as the source application. If you are reversing a single payment, enter the code for the Accounts Payable vendor.

The Employee Number field displays if you selected Payroll as the source application. If you are reversing a single transaction, enter the code for the employee whose check you are reversing.

The Check/Receipt No. field displays if you selected Accounts Receivable as the source application. If you are reversing a single check, use the Finder to select the customer's check number or cleared receipt number.

The Check/Payment No. field displays if you are reversing a vendor payment, a customer refund, or a payroll check. If you are reversing a single payment, use the Finder to select the check or payment number.

The Bank Entry Number field displays if you selected Reverse Bank Entry as the reversal type. If you are reversing a single bank entry, enter the number for the bank entry you are reversing.

After you specify a payment, receipt, or bank entry, the program displays the date and the amount of the transaction. To view the transaction in the original transaction entry form, click the Drilldown (Image of Drilldown button.) button.

To reverse a range of transactions

  1. Specify selection criteria to identify the transactions to reverse.

    Use the From and To fields to specify ranges of document numbers, dates, amounts, currencies, and vendors, customers, or employees. (The criteria you can specify depend on the source application.)

  2. Click the Go button (Image of the Go button.) to list the transactions that meet the criteria.
  3. Use the table, as follows, to specify the transactions to reverse:
    • Select a transaction on the table, then double-click the Reverse column in that line to change the entry to Yes.
    • If you are certain that you need to reverse all the transactions in the list, click Select All.
    • If you want to change your selections all at once, click Go to refresh the list.
  4. Click Post to update the bank account balance, and send the reversal information to the subledger.
