About Workers' Compensation Codes Setup
On the Workers' Compensation Codes setup window, you can:
- Define and modify groups of workers' compensation codes and their associated rates as fixed by the Workers' Compensation Board in each province.
- Define as many workers' compensation groups for each province. For each group, you can define codes that apply to work covered at different rates.
- Define a current and previous ceiling and start date for each group of codes and rates.
After you define workers' compensation groups and codes:
- You then assign the groups and codes to employees in the Employee Payroll window. The group and code determine the employee's workers' compensation rate.
- You can override the employee default groups and codes when you assign earnings, benefits, and accruals, to the employee. You would use this feature if the employee normally works in areas that fall under different rates.
- You can override the earnings/deductions default groups and codes when you enter timecards. You would use this feature if the employee occasionally works in areas that fall under different rates.
The system automatically tracks workers' compensation information for reporting.
To Add Workers' Compensation Groups and Codes
- Enter the WC Group, WCB province, employer number, description, expense account, liability account, start date, and wage ceiling of the workers' compensation coverage.
- To report on previous rates, enter the previous start date and previous wage ceiling.
- Add a six-character code, description, and the rate for each type of work that applies to your employees. If you had entered a previous start date, enter the rate used previously.
- Click Add.
- Repeat steps 1-4 for each WC Group you need to create.
Note: Some fields cannot be edited after the code is setup (saved). See the Field List linked in the More Information box on this page to learn which fields cannot be edited after setup.
What workers' compensation groups and codes do
Workers' compensation groups and codes let you assign different workers' compensation rates to different types of employees and employees in different provinces, if appropriate for your company. You can also assign different rates to specific types of work done by any employee, both in employee setup and during timecard entry.
Deleting workers' compensation groups and codes
To delete a workers' compensation group, select the WC Group and click Delete.
To delete a workers' compensation code, highlight the code on the Workers' Compensation Codes window and press the Delete key on the keyboard. You can delete a code only if no employee or timecard uses it.
After adding or editing
- Print the Workers' Compensation Codes report from Payroll Setup Reports.
- Assign workers' compensation groups and codes to employees on the Employee Payroll window.
