Setting Up Pay Frequencies: ADP vs. Sage HRMS

The ADP PC/Payroll System supports eight pay frequencies: weekly, biweekly, semi-monthly, monthly, every 4 weeks, daily, every 5.2 weeks, and every 2.6 weeks.

Sage HRMS supports four pay frequencies: weekly, biweekly, semi-monthly, and monthly.

When you use Sage HRMS Link to import salary information from your ADP system, salaries paid by a pay frequency not supported by Sage HRMS default to the pay frequency you chose when you set up the employer. This causes the employee’s salary to be incorrect.

Example  When you set up employer ABC Company in Sage HRMS, you chose Weekly as the employer’s default pay frequency. Using the Sage HRMS Link Service Bureau template, you import Amanda Harrington from ABC Co. who is paid a salary of $5000 every 5.2 weeks. Since Sage HRMS does not support 5.2 weeks, Amanda’s pay frequency defaults to Weekly. Thus, Amanda’s salary is now $5000 each week, which is incorrect.

To eliminate the possibility of importing incorrect salaries, we recommend you do not import salaries if you are importing pay frequencies Sage HRMS does not support. Instead, follow these steps:

  1. Clear the Pay Rate check box on your Service Bureau Template before you import.
  2. Import your ADP file.
  3. Adjust each employee’s pay rate according to the default pay frequency set for your employer.

Tip: Consider using the Mass Update Pay Rate process if you are adjusting all your imported ADP employees’ pay rates in the same manner.
