Prepare Your ASCII Files for Import

  1. Make sure the fields in your ASCII file and template are arranged in the same order.
    Either create an import template to reflect the order of fields in your application's ASCII file or create an ASCII file that matches the order of a template you have already created in Sage HRMS Link.
  2. If you have a field in your ASCII file that does not exist in Sage HRMS or that you do not want to import into Sage HRMS, make sure you insert a "dummy" field to substitute for it in your import template. To insert a dummy field, select DUMMY from the Field Name drop-down list in the Add Template Field dialog box.

    Caution! When you are importing to the Sage HRMS, Time Off, or Sage HRMS Train programs, both the ASCII source file and the template must have an Employee Number field (P_EMPNO). If your ASCII file does not have an employee number, you must include a DUMMY field in your ASCII file and the template.

  3. In order for Sage HRMS to run properly, there are several fields you should import from the ASCII file. If you import an ASCII file that does not contain these fields, Sage HRMS a will not be able to process some functions properly.
    Example  If you are using Sage HRMS Payroll and want to process earnings, taxes and deductions, your imported ASCII file must include such information as tax code, marital filing status, and taxes withheld for your employees.
  4. If you are using a fixed-length format in creating your ASCII file, make sure the lengths of your fields in the ASCII file and template match the lengths of the corresponding fields in both your template and the Sage HRMS file to which you are importing. Look at the data dictionary in your product documentation to find the length of a particular field.
    Example  If the first field in the template contains the employer code and the field is three spaces long in Sage HRMS, the first field in your ASCII file must also be three spaces long.

    Caution! If the data in a field in your ASCII file is longer than the length of the field you are importing to in Sage HRMS, your data is truncated. Sage HRMS Link only gives you a warning message on the first instance of truncating; however, the truncating continues throughout processing. If you do not want your data truncated, reduce the data to a shorter length in your source application and re-create your ASCII file.

  5. When you are importing data from several employers simultaneously (that is, you have Enterprise selected as the import option) to the Sage HRMS, Sage HRMS Payroll, Time Off, or Train products, the ASCII file must include an Employer Code field with employer code data entered. If no employer code data exists, Sage HRMS does not know which employer to associate with the imported data.
  6. For Sage HRMS to recognize codes, the codes must be in uppercase letters. Therefore, verify that all codes in your ASCII file are in uppercase.
