Mass Update Pay Rates

The Mass Update Pay Rate process allows you to change the pay rate for an entire group of employees at one time. You select the group or groups of employees whose rates or amounts are to be changed as well as the new rate.

We recommend you back up your data before beginning the Mass Update Pay Rate process. Backing up your data before you change it ensures you can always restore the original data and repeat the process if needed.

To Mass Update Pay Rates

From the navigation pane, select Employees > Processes > Mass Update Pay Rate.

This window allows you to specify the employees to be included in the process as well as which records you want to update. After you select the employee records to update, you are ready to choose a pay change date, reason, and the new pay rate.

Enter the new pay rate

  1. When you select the employee records to update, you are ready to choose a pay change date, reason, and the new pay rate. Click OK on the Mass Update Pay Rate page to display the Pay Rate Update Selections page.
  2. The Pay Change Date field defaults to today’s date and the Change Reason field defaults to the first alphabetical description in the Reason code table. If necessary, you can change the date or select another Reason code from the drop-down list. For more information see Reason codes.
  3. You can enter the new rate directly in the New Pay Rate field or you can use the Expression Builder to assist you in building an expression for the pay rate. If you enter the rate directly, do not include a dollar sign or any commas. For instance, to enter a pay rate of $2,500, type 2500.
  4. Or, to give a pay raise of 10 percent to every employee you selected, use the Expression Builder to help build the formula for the new rate.
  5. From the Custom Criteria drop-down list, select Visual FoxPro Expression Builder to access the Expression Builder.
  6. The Expression Builder helps you create the three parts of the expression. The box at the top of the Expression Builder is where your expression appears as you build it. You can use the other boxes to help build the expression. For this example, we will increase pay rates for selected employees by 10% of their current salary.
  7. In the Fields list, scroll down to and double-click the field identified as "p_salary." Note that the Expression Builder inserts the field name in the expression box as "Pe.p_salary."
  8. Click the Math drop-down list to choose a mathematical operator. Click * to indicate multiplication. The Expression Builder inserts the asterisk in the expression box.
  9. Enter 1.1 directly in the expression box. The completed expression should look like this:Pe.p_salary * 1.1
  10. Click OK to close the Expression Builder and save the expression in the Custom Criteria field.

Complete the process

  1. Click OK to perform the Mass Update Pay Rate process.

    Sage HRMS displays a message box telling you how many records will be updated and prompts you to proceed.

  2. If you want to back up your database before the system mass updates the pay rate, click No and back up your data before you proceed.

    If you click Yes, Sage HRMS performs the pay rate update and indicates the number of records updated upon completion.
